Great Ormond Street Hospital for Children NHS Trust

Following the competitive tendering process, in February 2003, Hugh Symons Information Management, was awarded the contract to provide document archiving service to GOSH. 

Initially the contract was to archive Medical Records, Psychological Medicine, Private Patients, Haematology/Oncology, Personnel, Pharmacy, Legal and Finance records.

With extensive experience in NHS projects involving both microfilm and scanned images, Hugh Symons was able to advise on a seamless transition from microfilm to electronic record management. GOSH chose to use CDView, the viewing and retrieval software developed by Hugh Symons over the past decade and the Kodak 2400DSV microfilm scanner/printer which facilitates the conversion of existing microfilmed records easily on demand for producing scanned images from the existing legacy microfilm.

Calderdale & Huddersfield NHS Trust

In early 2000 Hugh Symons was awarded the contract to provide a full scanning bureau service to the Trust. The award was based not only on their proven track record of over 25 years within the NHS, but also on their “willingness to provide solutions to problems”

Another major factor influencing the Trust’s decision to appoint Hugh Symons as their scanning services provider was the image viewing/retrieval software, CDView offered by Hugh Symons. As the project progressed into the second phase more departments began using CDView as their principal means of record retrieval. Trust staff found the flexibility offered by CDView of great benefit in handling the differing needs and indexing requirements of the various departments. Lida Brambles, Medical Records Manager comments on CDView:

  

"We have found it to be accessible to the varying levels of computer literacy. This has meant that staff feel more confident in using a computer for work that would previously have been paper base"

  

Quality issues were high on the list of priorities for Calderdale, Hugh Symons Information Management has been accredited to ISO since 1993. Lida Brambles comments on the level of service received:

  

“The project team has laid down strict guidelines that monitor the quality and authenticity of documents once archived. We have regular quality control reports that are generated and any issues are acted upon. However in Hugh Symons we have a contractor that shares our belief in high quality control standards. We have found the legibility of images to be clear and concise”

 

Portsmouth Hospitals NHS Trust

In 2003 Portsmouth Hospitals NHS Trust issued a tender for the scanning of various types of records but with emphasis being placed on Medical and A&E records.  The tender requirement was not only for the scanning of the records but also for a delivery mechanism which would allow information to be shared around the Trust in a controlled manner.

Hugh Symons was eventually awarded the scanning contract following a stringent selection process. CDView, Hugh Symons’ licence-free retrieval and viewing software has been successfully implemented on a Trust wide basis.  This has provided an interim EPR solution prior to any Trust wide decision being made with regard to systems.

Pennine Acute Hospitals NHS Trust

Pennine Acute Hospitals NHS Trust consists of 5 District General Hospitals based in the north east area of Manchester.  With over 2.2 million health records to store, increasing by 60,000 each year, the Trust had to find a solution to the storage and cross-site sharing of information

The Trust’s preferred option was to appoint a supplier with a proven track record who could provide a complete, secure service for the removal of the documents from the sites, store them whilst scanning and destroy all original documentation in a confidential manner after the return of the information.

Following a rigorous tendering process, which involved submissions from over 90 companies, Hugh Symons was awarded the contract in early 2006 based on a number of factors including:

  •  Security of the off-site scanning service and facilities
  • Use of state of the art technology
  • Proven NHS record
  • Provision of licence-free document management software
  • Availability of technical support services
  • Cost
